Scheduled Counts

Scheduling counts allows a previously created count to automatically run on a specified day. 

  • For triggers, this can be set to load when the file updates for the day. 
  • For prescreen counts, this can be set for a specific day. 
  • This option can be found in "Step 2: Define Settings"

Schedule a Trigger Count

  1. On Step 2: Define Settings, select the "Scheduled Counts" tab
  2. Under "Schedule Count to Refresh", click the check box next to "Schedule Count to Refresh"
  3. Select the days you want the count to run. 


Schedule a Prescreen Count

  1. On Step 2: Define Settings, select the "Scheduled Counts" tab
  2. Under "Schedule Count to Refresh", click the check box next to "Run on" or "Weekly on Day of the Week" depending on your requirements. Select a date if it will be run monthly. You can select up to 2 dates for the count to run.


Scheduled Count Priority

  • The ability to prioritize the order counts will run is managed at the client level (not the agency level). This option must be enabled for each client. To enable for your clients, please reach out to clientservices@dpddata.com
  • If you do not create a scheduled priority, all counts will kick off at same time for that client. Prescreen counts kick off around 2 am CST on the selected day selected.
  • Find the Scheduled Count Priority option under the client menu, as seen below.
  • Both trigger and prescreen counts can be put in priority order. Under "Data Source" select which type of counts to add to the Suppression Group.
  • To include a count in the schedule, select the checkbox under "Suppression Group"
  • Click "Adjust Priority" to put the counts in order
  • Select "Update" to save


Auto-Ordering

The option to automatically order a specified number of records from individual counts is available for prescreen and trigger counts. To turn on this functionality, contact clientervices@dpddata.com

  1. A count must be scheduled to refresh in order to allow auto-ordering
  2. Select the "Active" checkbox under "Schedule Records to Automatically Deliver after Count is Refreshed"
  3. Add a start date and end date
  4. Select either "All Available" to take all records available in the count, or "Max Quantity" to limit the number of records to order
  5. If "Max Quantity" is selected, choose selection logic
  6. Select the layout for the order
  7. Choose whether or not all selection criteria will be output on the mail file
  8. Enter a PO
  9. Select "Save"

*IMPORTANT

To auto-deliver orders in a specific order and allow for each order to suppress against the next, add the scheduled count to the client's suppression group in the "Scheduled Count Priority" tab as shown above.


Notes

  • Scheduled trigger counts will not run on Saturdays, Sundays, or Holidays 
  • You must complete the first count in order for the schedule to save
  • To receive an email when the scheduled count has run, select the "scheduled count refreshed" notification for your email in the Agency Notifications settings. 
  • To receive a notification when an order with auto-delivery is ready, select the "Order Complete" notification un the Agency Notification or settings. 
  • Refer to the Agency Admin article for guidance on setting notifications.
  • After 3 months of no orders, a scheduled count will be deactivated. Reset the schedule to continue.
  • Orders that are set to auto-deliver will be invoiced the day after the order is downloaded.
